Background

Our client is responsible for managing Australia’s international presence, including the delivery of secure and functional overseas property assets. They oversee the planning, design, construction, and maintenance of the overseas estate. To support the delivery of a growing portfolio of capital works and refurbishment projects, we are seeking to engage multiple APS4 project reporting officers to provide support to project management services.
 
Position summary
 
The APS 4 Project Reporting Officer provides essential project coordination and administrative support within the team to ensure the successful planning, delivery, and governance of property-related initiatives. This role supports project managers by streamlining reporting processes, managing documentation, and assisting with compliance and governance activities across the overseas property portfolio. This role will contribute to managing project timelines, tracking deliverables, liaising with internal and external stakeholders, and ensuring compliance with departmental policies and governance frameworks. The officer will assist in procurement, financial tracking, risk management, and reporting to support project managers in delivering overseas property projects efficiently. Working under limited direction, the APS4 will play a key role in streamlining project management processes, reducing administrative burdens on senior staff, and enhancing the overall effectiveness of he project delivery function.
 
Key Duties  
  • Supporting project planning, scheduling, and tracking to ensure timely delivery of overseas property projects.
  • Assisting with procurement processes, contract administration, and financial tracking to support project budgets.
  • Liaising with internal and external stakeholders, including posts, contractors, and service providers, to ensure smooth project execution.
  • Monitoring project risks, maintaining risk registers, and assisting with mitigation strategies.
  • Preparing project documentation, reports, and briefings to support decision-making.
  • Coordinating governance and compliance activities, ensuring adherence to departmental frameworks and policies.
  • Managing project-related databases and maintaining accurate records for audit and reporting purposes.
  • Supporting continuous improvement initiatives to enhance project management efficiency and effectiveness.
  • Coordinate meetings, prepare agendas and minutes, and follow up on action items.
Our Ideal Candidate
 
The ideal candidate for the APS4 Project Reporting Officer role will be a highly organised and detail-oriented professional with experience in administrative or project support roles, preferably within a government or professional services environment. They will demonstrate strong written communication skills, with the ability to draft clear and accurate reports, correspondence, and documentation that support effective project delivery.
 
Proposed Order Commencement Date
1 March 2026 - Initial 12 Months Contract with an option to extend furhter 
 
Security Clearance Requirements
NV1 clearance
