The Senior Project Officer will support the operations of a Project/Program/Portfolio Office and assist in delivering projects. The role involves coordinating procurement and contract activities, maintaining documentation to ensure compliance, and liaising with suppliers to track deliverables and milestones. Additionally, the position supports vendor and workforce management, including onboarding and offboarding staff and contractors, maintaining accurate records, monitoring contract performance, and addressing issues as they arise. The role also contributes to reporting, risk management, and continuous improvement while fostering effective relationships with stakeholders.
Key duties and responsibilities
- Support project teams in delivering timely, compliant and value-for-money procurement processes.
- Monitor contract performance and escalate issues or risks as needed. Maintain accurate documentation and audit trails for all procurement and contract activities.
- Ensure compliance with legislation, policies and procedures. Identify and report risks, supporting mitigation strategies with stakeholders.
- Assist project teams and evaluation panels with procurement and contract management guidance. Draft and review contract documents to align with program and compliance requirements.
- Track key dates, financial commitments and maintain records. Liaise with legal and finance teams on contract development, revisions, and approvals.
Key duties and responsibilities
- Partner with project team to ensure procurement processes are completed within agreed timeframes, are compliant with legislation, encourage quality, maximise value and manage risk.
- Support the program in its workforce and contract management requirements.
- Provide expert, timely and strategic advice and support on Commonwealth Procurement Rules and Frameworks including the DTA and IT sourcing arrangements and policies. Coordinate end-to-end procurement processes and documentation in collaboration with Program team members.
- Provide specialist procurement and contract management advice and assistance to project teams, evaluation committees and senior executives. Draft, review, and negotiate contracts with clients, vendors, partners, and other stakeholders, including ensuring terms align with company objectives.
- Manages and maintains appropriate contract records and registers and ensures contract expenditure and expiry dates are proactively managed.
- Collaborate with legal and finance teams for contract revisions. Monitor contract compliance, ensuring terms and conditions are adhered to.
- Strong understanding of Government and Commonwealth Procurement Rules, particularly for digital and ICT sourcing within the Australian Government.
- Proven experience managing end-to-end procurement processes, including documentation, evaluations, contract negotiation and finalisation.
- Ability to collaborate with internal teams and suppliers to manage procurement and contracts, resolve issues, and ensure deliverables are met.
- Demonstrated capability in contract governance and risk management, including compliance monitoring, risk tracking, and maintaining accurate documentation and reporting.
