APS4 Diary Manager
About the Position
The Execuitve Assistant is responsible for the efficient and strategic management of the Chief Executive Office (CEO) and when required the Deputy Chief Executive Officer’s (DCEO) calendar. They will provide high level diary management and administrative support to Senior Executives, acting as a key liaison between the Senior Executives and internal and external stakeholders. The successful candidate will ensure time is managed effectively and meetings align with the department's strategic goals and priorities.
Duties and Tasks
- Manage and coordinate the daily schedule for Senior Executives, including meetings, appointments, and travel.
- Act as the primary point of contact for scheduling CEO and DCEO meetings.
- Prioritise and respond to meeting and diary requests, ensuring alignment with strategic priorities and availability.
- Coordinate travel as required using the APS travel booking system, in line with the department's Travel Policy.
- Develop and maintain strong working relationships with Senior Executives and external stakeholders.
- Work closely with Executive Officers to perform ad-hoc administrative tasks as required.
- Excellent organisational skills, with the ability to coordinate tasks effectively and prioritise in order of importance.
- Strong attention to detail, maintaining accuracy in a high paced environment.
- Sound judgement, integrity and discretion, including the ability to maintain confidentiality and privacy.
- Excellent communication skills, both oral and written, engaging with stakeholders in a highly professional manner.
- Proficiency with Microsoft software packages.
- Previous experience in a similar diary management or executive support role would be desirable.
6 months (with possibility of extension)
