About the company
Our Federal Government client is launching a strategic procurement initiative to support Australia’s international development efforts through services such as program design, monitoring and evaluation, assurance, and procurement support. The panel is expected to be operational by Q1 2026 and will run for up to 10 years, with future refreshes to expand service categories.
About the role
Our client is seeking two officers, one at the APS4 or 5 level and one at the APS6 level. Both roles will provide high level administration and coordination support across the procurement process, providing accurate documentation, stakeholder engagement and workflow management with the APS6 role also having a project management and process development focus.
Duties for all levels
- Conduct conformity checks, manage data entry, file documents, and support evaluation activities such as conflict of interest processes and committee meetings.
- Monitor the tender inbox and triage communications between internal and external stakeholders to ensure timely and accurate responses.
- Assist with documentation for contracting, negotiation, and due diligence assessments, while facilitating approval processes including Outcomes Minutes and s23s.
- Contribute to the implementation of the communications plan and assist in developing user guidance materials and RFQ templates.
- Maintain and update internal documentation to support continuous improvement.
- Maintain project schedules and work plans to support procurement activities and the transition.
- Track procurement milestones, deliverables, and dependencies to ensure alignment with project timelines.
- Monitor risks and issues across procurement activities, escalating concerns and contributing to mitigation strategies.
- Support development of transition scope, operational model, and data systems, including basic analysis and reporting.
Skills & experience for all levels
- Skilled in data entry, document management, and navigating diverse software systems
- Confident in stakeholder liaison and supporting engagement activities
- Accurate and thorough in documentation and compliance checks
- Experienced in managing shared inboxes and coordinating workflow responses
- Capable of updating guidance materials and supporting process improvements, with familiarity in Commonwealth procurement practices (desirable)
- Manage program schedules and track milestones across multiple workstreams with precision
- Coordinate effectively with internal and external stakeholders to support project delivery
- Lead process mapping initiatives and update guidance materials to improve system efficiency
